The Difference You Make

The Senior Executive Assistant serves as the trusted support partner to the Head of US Corporate & Investment Banking, providing administrative, operational, and organizational support in a fast-paced, highly confidential executive environment. This individual acts as an extension of the CIB executive office, ensuring seamless management of priorities, communications, stakeholder engagement, and day-to-day operations.  Success in this role requires exceptional judgment, executive presence, discretion, and the ability to anticipate needs before they arise. The ideal candidate can navigate complex organizational dynamics, manage competing priorities, and foster strong relationships across senior leadership, clients, regulators, board members, and key business partners.

Key Responsibilities

Executive Office Management

•Serve as the primary point of contact for the Head of US Corporate & Investment Banking, managing a highly complex and dynamic calendar with competing internal and external demands.

•Act as a strategic gatekeeper, prioritizing requests, resolving conflicts, and ensuring executive time is aligned with business priorities.

•Anticipate and proactively address scheduling, logistical, and operational challenges before they impact the executive's agenda.

•Manage sensitive and highly confidential information with the highest level of discretion and professionalism.

Senior Stakeholder Management

•Coordinate interactions with senior executives, Board members, regulators, clients, investors, and external partners.

•Serve as a trusted liaison between the executive office and key internal and external stakeholders.

•Build and maintain strong relationships across business lines, support functions, and executive offices to facilitate efficient decision-making and execution.

•Handle complex and sensitive requests with professionalism, sound judgment, and a client-service mindset.

Meeting & Governance Coordination

•Coordinate executive participation in management committees, leadership forums, Board-related activities, regulatory meetings, and other governance processes.

•Prepare and manage agendas, briefing materials, presentations, meeting packages, and logistics for senior leadership engagements.

•Ensure the executive is fully prepared for meetings through proactive management of materials, scheduling, and follow-up requirements.

•Track recurring governance deliverables, deadlines, and leadership commitments to ensure timely completion.

Executive Office Operations

•Serve as the operational anchor for the executive office, managing the flow of information, requests, approvals, and decisions requiring executive attention.

•Coordinate closely with business leaders, chiefs of staff, business managers, and executive assistants to ensure alignment of priorities and seamless execution.

•Maintain awareness of key business activities, leadership commitments, and organizational priorities to proactively support executive effectiveness.

•Exercise independent judgment in assessing, escalating, and resolving matters requiring executive attention.

Travel, Events & Expense Management

•Coordinate complex domestic and international travel, including multi-city itineraries, client meetings, conferences, and executive events.

•Anticipate travel disruptions and develop contingency plans to minimize business impact.

•Lead logistics and planning for executive offsites, leadership conferences, town halls, and other business events.

•Prepare and submit accurate and timely expense reports while ensuring adherence to corporate expense policies.

What You Bring

Education

•Bachelor's Degree or equivalent combination of education, military service, training, and relevant work experience.

Required Qualifications

•20+ years of experience supporting C-suite executives, senior business leaders, or executive management teams within financial services, investment banking, corporate banking, or a similarly fast-paced environment.

•Demonstrated ability to manage highly complex calendars, executive priorities, and competing demands with flawless execution.

•Exceptional organizational skills and attention to detail.

•Proven ability to exercise independent judgment and make sound decisions with limited oversight.

•Strong executive presence and the ability to interact confidently with senior leaders, clients, regulators, and Board members.

•Outstanding written and verbal communication skills.

•Ability to maintain strict confidentiality and handle highly sensitive information.

•Strong project management skills with the ability to manage multiple priorities simultaneously.

•Highly resilient and adaptable in environments characterized by changing priorities and tight deadlines.

•Expert proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Excel, Word, and Teams.

•Experience utilizing expense management platforms such as Concur.

Preferred Qualifications

•Experience supporting the Head of a business line, division CEO, COO, President, or comparable executive.

•Prior experience within Corporate & Investment Banking, Capital Markets, Investment Banking, Global Markets, or Financial Services.

•Experience supporting Board, Executive Committee, Management Committee, or other senior governance forums.

•Demonstrated success working within highly matrixed, global organizations.

•Fluent in Spanish

Work Authorization & Sponsorship:
Applicants must be legally authorized to work in the United States on a full-time basis without requiring employer sponsorship to commence employment.

What Else You Need To Know:

The base pay range for this position is posted below and represents the annualized salary range. For hourly positions (non-exempt), the annual range is based on a 40-hour work week. The exact compensation may vary based on skills, experience, training, licensure and certifications and location.

Base Pay Range:

Minimum:

$90,000.00 USD

Maximum:

$140,000.00 USD
